Property managers who have dealt with cleaning contractors that operate verbally — where the scope lives in someone's memory and the price was agreed in a hallway — know what happens when there is a dispute about what is and is not included. Our process eliminates that scenario. Everything is in writing before we start, and you keep the document regardless of whether you proceed.
- Initial contact and callback — you call or submit a quote request. We call back the next business day to confirm building details and schedule the walkthrough. One call, no follow-up sales calls.
- Property walkthrough — we visit the building (typically 20–30 minutes). We measure cleanable areas by type, note floor materials, count restroom fixtures, confirm tenant access hours and any restricted areas, and discuss your priorities and any problem areas you have noticed.
- Written scope and price — delivered within 2 business days of the walkthrough. The scope covers every area to be cleaned, frequency, supply responsibility, seasonal adjustments, the response-time commitment for callbacks, and the price per visit or per month. Nothing verbal.
- Scope approval and crew assignment — you review, ask questions, and sign. We assign a primary crew to your building. You receive the crew lead's name before the first visit.
- First clean — on the agreed date and time. The crew lead does a walkthrough with you or your building contact at the start if you are available. Not required, but useful for confirming priorities before the first service.
- 30-day check-in — we contact you 30 days after the first clean to review the program. If something is not working — frequency, coverage area, a specific area that needs more attention — we adjust the scope. If everything is running correctly, the check-in takes three minutes.
Response Time Commitment
If something is missed or needs correction between scheduled visits, contact us by phone or email. We respond within one business day and correct the issue within the next scheduled visit or sooner if the situation warrants. The response-time commitment is written into your scope document, not a verbal promise.
After the 30-Day Check-In
The program runs on the agreed schedule. Annual scope reviews are standard — we discuss any changes to building occupancy, floor areas, or frequency needs once per year. Scope changes are documented in writing.
